Below are the frequently
asked questions. These questions were answered by the project
representatives.
Q:
6/29/05 - "Sometimes I forget if I'm in the Training Environment or the
Production Environment of the CWW. What do I do if I accidently enter a
training case in the Production Environment?"
A:
Always be aware of which environment you are in (Training verses
Production). You can see the environment in the upper left hand portion of
the CWW browser. If you learn that you have accidentally entered a training
case into Production, please stop processing the case immediately when you
discover this, notify your agency's CARES Coordinator, and have her/him call
it into the CARES Information and Problem Resolution Center. It's much
easier for the call center to deal with these cases if they catch it before you run
eligibility or confirm.
Q:
4/25/05 - "Why does my TAB key take me to a beige field if I do not need to collect
that information? I notice that the TAB key does not take me to fields that are
disabled (or, grey)."
A:
Just as with the mainframe, the TAB key will take you from one field on a page to the next from left
to right, top to bottom. CWW also takes you through buttons, hyperlinks, and icons. In addition,
different fields are beige for different cases. If beige fields were skipped, you would not have
the opportunity to become familiar with the order in which the questions are presented and answered.
There have been suggestions that the user could use their mouse to select the field if CWW were to, in
fact, skip over it. This approach would contradict certain "accessibility", or Section 508 requirements
of the Americans with Disabilities Act (ADA) which stipulate the need for alternative methods for
interacting with the application aside from the standard monitor, keyboard, and mouse. The only
time the TAB key will skip over a field is if it is disabled. When a field is disabled, there is no
reason that the user should be trying to interact with that field. Therefore, the TAB key does not
need to go to it.
Q:
4/19/05 - "As CWW is a browser-based application, there is certain functionality
that is inherent with using a web browser. Can you highlight some that would be useful to
me as I begin to use CWW?"
A:
We've highlighted many of these items below:
While using HATS, you may notice the following:
There is no "clocking" symbol when you press Enter. Instead, you will notice that data enterable fields will turn gray
to indicate that the system is processing your information or request.
The End key will not delete the information in a text box, as it does in HOD or Attachmate.
When pasting information into a field, sometimes you will find the need to delete extra spaces in the field. These
extra spaces are usually represented by an underline to simulate the PARM line that you are used to in HOD or Attachmate.
The arrow keys will not move you from one field to the next. Remember, HATS is nothing more than a web page (you cannot move
from one text box to another using the arrow keys on a "normal" web page).
Clicking on a label for a dropdown resets the field value to the first item in the list.
Typing while a dropdown is highlighted will take you to the words that start with the letter.
This only works for the first letter, and not subsequent letters in the word or code. Typing the
same letter multiple times will take you to the next word or code starting with that letter.
For example, let's say a dropdown contains the words "Adoption Form" and "Agency Form". Hitting
"A" once takes you to the Adoption Form; hitting "A" twice takes you to "Agency Form".
If you are in a dropdown and you use the scroll-wheel on your mouse (if you have one), it will take you to the
next value in the list.
If you are in a text area (e.g. comment box) and hit Enter, it will take you to a new line rather than saving
the page. You need to click out of the dropdown box in order for Enter to take you to the next page.
Hitting Enter multiple times before the entire page comes up could cause an error. To avoid this, be sure that the
progress bar (located at the bottom of your browser window) has gone away and is still not moving from left to right.
Hitting Enter multiple times, or clicking a button multiple times in rapid succession could cause an error.
Q:
4/14/05 - "Is all the data entered in the CWW updated at the same time as
the mainframe, or vice-versa?"
A:
In general, yes. Once data is entered in the CWW, it can be viewed on
the corresponding mainframe screen, or vice versa (if that page exists yet in
the CWW). However, there are some exceptions.
Until someone is determined relevant in CWW, we store their information in
temporary tables. We do this because they are not yet officially part of
the case and also because they may not yet have a PIN. Upon completion of the
relevance page/clearance, the relevant people's information will be brought
over to the permanent tables.
So, from the point the person is added until they are cleared and you are on
General Case Info, the information for that individual on the pages listed
below is in temporary tables. Since it is in temporary tables, it cannot be
viewed on the corresponding mainframe screens such as ANHR/ACPA/ANID. After
clearance is completed and the individual becomes a real part of the case,
then that persons info can be viewed on the mainframe screens.

Q:
4/13/05 - "I opened the Print Application page for an RFA, and then returned back to the
CWW window without closing it. I then wanted to print another application, but when I
click on the View button from the Print Application page, nothing happens."
A:
If you leave the Print Application window open and return to the CWW window to work on another RFA or case, whenever
you try to open the Print Application window again from the CWW window, it will update the information in the existing (minimized or hidden)
window that you have not closed. To see the new Application in the Print Application window, maximize the Print Application window from the Windows taskbar.
Q:
4/13/05 - How can I increase the font for visually impaired workers?
A:
There are two ways that this can be accomplished, although we do prefer that most workers do not
reset their font as we didn't design CWW to seamlessly accommodate this need, but it is
an option. (Some workers may have to have their IT people do this for them, but since it is
a setting that only affects IE, we didn't think it would be many.)

Select a text size: It is suggested that the smallest size be selected that is viewable
to the worker. The larger the text size selected the more scrolling and mis-alignment. It is
not suggested that Largest be used unless necessary as it is hard to read due
to alignment.
Finally, if the worker does not choose either of the above options, one could make use of the magnifying option
in Windows. This tool provides the user with the ability to magnify portions of the page as you work
on it. To enable this tool, follow these steps:
Once logged in to CWW, maximize the Internet Explorer window
Click Start Button
Click Programs
Click Accessories
Click Accessibility
Click Magnifier. The magnification panel will appear at the top and a
pop-up window will give options for the magnifier functions.
Q:
4/13/05 - Sometimes I am not able to see the bottom or top part of the CWW Internet Explorer window.
How can I fix this?
A:
Maximize the CWW Window. This will re-size the CWW window such that it will fit within the space available
on your desktop
Q:
Prior to Pilot 1 - In the Case Comments, will there be a spell checker?
A:
No. The CWW will not have a spell checker. However, there are programs
that are available that can spell check any website accessed through Internet
Explorer. Check with your agency’s IT staff if you are interested in that.
Q:
Prior to Pilot 1 - I understand that the worker can enter comments on each page.
Will these comments automatically jump into the main comment page? Or will the worker have to enter them twice for them to appear there?
If the answer is “yes” it will create more work.
A:
For the first project of the CWW, comments will only be entered on the Case
Comments page. In the future, we will discuss the possibility of being able
to enter comments on different pages. Some staff want the ability to see all
comments for a certain topic on one page. For example, some have suggested
having comments on the Employment page, so anyone who wanted to see comments on
employment would go to that page to see them. We’ll discuss this more during the
next stage of development of the CWW.
Q:
Prior to Pilot 1 - I’m a keyboard person and I don’t like using a mouse. What are some shortcuts or methods to using just the keyboard on the CWW?
That may be too detailed for using the CWW. Here’s some shortcuts to move through the CWW using only the keyboard:
Use the tab key to move to the next field on a screen.
To go to the previous field, hold down the shift key and hit the tab key.
When using a drop down listbox, sometimes the list of possible values is long. Type in the first letter of the word you want to select. This will take you to the first word that starts with that letter. If that’s the word you want to select, hit tab to select the item, and proceed to the next field. If it’s not, hit the down arrow until the word you want is selected and then hit tab to select it, and proceed to the next field.
For Y/N dropdown listboxes, you’ll only need to hit Y or N, then tab to the next field.
Hold down the ctrl key + the home key to go to the very beginning of a page.
Hold down the ctrl key + the end key to go to the very end of a page.
Q:
Prior to Pilot 1 - Will there be field level defaults, or do I have to use the dropdown boxes for each answer? Can’t we default Y/N fields to N?
A:
This was discussed by state staff. The Y/N fields will default to blanks. We want to make sure each question is addressed. To quickly fill out a series of Y/N fields with N’s, hit tab, N, tab, N, tab, N etc.
Q:
Prior to Pilot 1 - Can you add a timestamp to case comments so we can sort them not only by day, but also by the time of day they were completed?
A:
The application development team is researching this issue. If it is technically, possible, we will do this.
Q:
Prior to Pilot 1 - I’m confused about the “Default Begin Month for New Data” field mentioned on the Case Summary screen. How will this work?
A:
This is similar to the current “Session Control Default Date” in CARES. It will only apply to blank effective dates on the current case you’re working on. For example, if you enter a date in this field during an intake, that date will be the default date for all pages for the case. The date is defaulted, but is updateable. It’ll save you from typing the same date on each web page during the such processing as intakes and person adds.
One of the key differences in how this will work in CWW vs. how it currently works in CARES, is that this date will automatically be populated on all new “detail” screens, such as the Income Detail screen. In CARES today, this date is only automatically populated on the initial non-financial pages.
Note: If the effective date already exists from a previous entry, it will not be updated.
Q:
Prior to Pilot 1 - I can’t access the drop-down menu choices to see what is to be entered.
A:
The demo on this site isn’t fully interactive. You’re looking at a screen shot. The drop down listboxes will contain the same reference table data that you see in CARES. You currently see this by putting a pound sign in the field and hitting enter. When you use a dropdown listbox, you click on the down arrow to see the values and then click on the value you want to enter. You may also enter the first letter of the word you want to select. This will take you to the first word that starts with that letter.
Q:
Prior to Pilot 1 - Are there question marks in the drop down boxes to pend the case?
A:
Yes. The same values found in a reference table for a field are found by clicking on the down arrow of a dropdown listbox.
Q:
Prior to Pilot 1 - On the Employment Summary page, will this only hold the current application information? With all the job changes some clients make, this could get lengthy.
A:
As with other summary pages, only the most current, non-deleted information will be displayed for each job for each individual. This is how the information currently displays in the mainframe version of CARES.
Q:
Prior to Pilot 1 - Will we be able to have more than one session of the CWW open at one time? We find multiple sessions very helpful when completing matches.
A:
Yes, multiple sessions will be supported. You can have multiple sessions of the CWW open at the same time and you can also have other sessions of the mainframe (Host On Demand) version of CARES open.
Q:
Prior to Pilot 1 - On the individual Nonfinancial Gatepost page, why do you still mention incapacitation? Isn’t that obsolete with recent changes?
A:
You’re right. That item will be removed from the new Nonfinancial Gatepost page. The Incapacitation screen is obsolete.
Q:
Prior to Pilot 1 - We really need the ability to end & delete old insurance info from case. The current process of EDS doing it is not efficient and very often incorrect.
A:
The functionality behind the interface process between CARES and EDS MMIS is not changing with the CWW project. However, where possible, improvements have been done to the Medical Insurance Coverage page. This includes both discontinuing collection of information not needed and to collect data in a way that it will more effectively match up with EDS MMIS TPL information to prevent unnecessary return records from EDS MMIS. However, EDS MMIS will still be ending insurance information as it does today.
Q:
Prior to Pilot 1 - Can you type in the answer for those boxes that have a drop down box?
A:
There are limits to the functionality of the drop down boxes that is a standard across all applications. Drop down boxes do not allow for keying in the entire answer. However, when using a drop down listbox, you can type the first letter of the word you want to select. This will take you to the first word that starts with that letter. If that’s the word you want to select, hit tab to select the item, and proceed to the next field. If it’s not, hit the down arrow until the word you want is selected and then hit tab to select the item, and proceed to the next field.
Q:
Prior to Pilot 1 - Why do I have to scroll to see the entire page?
A:
This site, as well as CARES Worker Web is designed to take advantage of a screen resolution of 1024 pixels by 768 pixels or greater. This means that if you are used to having your screen set at a resolution that is less, (or smaller) you will need to follow the following steps to change your screen resolution to the correct amount:
From Windows 2000/NT:
Click on "START" / "SETTINGS" / "CONTROL PANEL".
Double click on the "DISPLAY" icon.
Choose the “SETTINGS” tab.
In the “Screen Area” or "Desktop Area" section, move the sliding bar to the right until you choose "1024 by 768" pixels.
Click the “Apply" button on the lower right hand corner of the dialog box.
Click "OK" in the dialog that comes up to test the new settings.
If the screen resolution looks good, press okay before the 15 second timeout to complete the screen resolution change. If you are asked to restart your computer for the settings to take effect, please do so.
NOTE: This will result in smaller text size and smaller menus. You should become used to the change in a day or two.
Q:
Prior to Pilot 1 - When I step away from the computer or leave the application
alone for only a few minutes, it asks me to log in again, can I fix this or make is so I can remain logged for longer?
A:
The application's timeout is set to a very low which means
that the application does not recognize that you have logged in anymore when only a short period of inactivity occurs. This
is being worked on and should be resolved shortly.
For the Feedback Site this can be resolved by making sure to use the system at least every 10 minutes.
NOTE: The these timeout settings will be much longer in the CARES WorkerWeb application. This only affects the End User Feedback site.
Q:
Prior to Pilot 1 - I registered but the site is still telling me that I need to
register to log in. What could be wrong?
A:
The website uses the email address that you put into the "Email" field when
you registered. If this email address that you registered with is not entered correctly or is missing anything, the system
would not recognize you when you attempt to log in. If this is the problem, please use the link from the login page to email
us about your login problems and we can adjust your email address to correct the problem.
Q:
Prior to Pilot 1 - I like the "CASE COMMENTS" screen, but I think that there
are other pages that contain additional information and could use additional comments. Can we add comments on other screens?
A:
We are planning to add this functionality in a future enhancement, but it will
not be part of project 1. Remember that you can use the navigation menu to go back to the "CASE COMMENTS"
screen at any point while entering a case to view and enter comments. We are also adding a
comments section to the RFA which will automatically be carried over to the case.
Q:
Prior to Pilot 1 - I see that there is a limit to the amount of comments that can
be entered on the "CASE COMMENTS" page. Is this going to be enough to completely enter the appropriate comments?
A:
Currently in CARES, you can enter only 4 lines of comments (with a maximum of 65
characters on each line). Because we are not changing how the data is stored for the new system and do not want to lose existing
comments, we will still be limiting the maximum number of characters per comment to 260 (4 lines X 64 characters = 260). The new
comments area will be improved to automatically wrap text and allow you to enter both upper and lowercase characters. Keep in mind
that while you are limited in the number of characters per comment, you can enter multiple comments on the same page.
Q:
Prior to Pilot 1 - Will I be able to spell check comments?
A:
While spell checking is not a planned feature for the "CASE COMMENTS" page, as a result the feedback we have received, we are researching spell checking options.
Q:
Prior to Pilot 1 - Are there going to be defaulted values on dropdowns in the system?
A:
Some fields will have default values, but the majority will not. To minimize errors and help ensure the data is accurate, the system is designed to prompt the worker to ask all questions and enter the appropriate response. If a value already exists for a dropdown field, the data will be maintained the same as it is in CARES now.
Q:
Prior to Pilot 1 - The summary pages seem to have a lot of information. Is this necessary?
A:
The purpose of the summary screens is to give a snapshot of all of the information that was
entered for each section of pages. There is one summary per group of pages and the summary page is not useful until information has been entered. This functionality will be new to CARES Worker Web and does not replace the existing data entry screens, it just summarizes them provide workers with an easier way of finding information in a case. We need your feedback to help determine what should be displayed on these pages.
Q:
Prior to Pilot 1 - Is there a reason that the "HOUSEHOLD MEMBERS" page is set up to only allow one
member to be entered at a time when the current system allows all the members to be entered at once?
A:
CARES Worker Web will be more individual focused (rather then category focused). For example, ANBR and ANBC have been combined into a single page which must be filled out for each individual.

Prior to Pilot 1 - I see the acronym MPA on some of the pages. What does it stand for?
A:
MPA stands for Medicare Premium Assistance programs (also called "Buy-In" or "Medicare Beneficiary Benefits").
This grouping includes the following eligibility categories:
Qualified Medicare Beneficiary (QMB)
Specified Low Income Beneficiary (SLMB)
Specified Low Income Beneficiary Plus (SLMB+) - otherwise known as QI-1
Qualified Disabled and Working individuals (QDWI)
Q:
Prior to Pilot 1 - Will there be training?
A:
Yes. CARES Worker Web training is currently under development by DWD/DHFS Partner Training Services. The proposed model is a blend of various distance methodologies and facilitated learning experiences for local agency and tribal staff, primarily everyday CWW users - Client Registration, Income Maintenance, and W-2 staff. Since the move from the Mainframe to CWW does not involve policy change, the training will focus on how to use this new tool, with assessments for the worker to check his or her comprehension and skill. In coming months, check this site and the PTS Learning Center for more information on this essential training opportunity.
